What's inside

  • A RACI chart: 14 social media tasks with an R, A, C or I for each person
  • A key explaining each letter, with the rules that keep the chart useful
  • A cover plan: who steps in for whom on holiday or sick days, and what they shouldn't do alone
  • A filled example for Oakfield Garden Centre, a fictional business (every name is made up), and a blank CSV of each sheet

How to use it

  1. List the tasks first, from planning and writing to replying, reporting and handling complaints.
  2. Add a column for each person or role involved, including freelancers and agencies.
  3. Give every task exactly one A: the person who answers for it if it goes wrong.
  4. Give every task at least one R: the person who does the work. The A and the R can be the same person.
  5. Keep C and I short. If everyone is consulted on everything, nothing gets posted.
  6. Fill the cover plan so holidays don't stop posting or replies.
  7. Share the chart with everyone on it, and review it when someone joins or leaves.

Tips

  • Oakfield Garden Centre and every name in the example are made up.
  • One A per task is the rule that matters most. Two people accountable for the same thing usually means neither is.
  • In a team of one or two, most tasks will have the same person as A and R. The chart is still worth writing for the C and I columns and the cover plan.
  • Include the people who aren't marketers but know the answers, such as the café manager. Replies get faster when they're on the chart.
  • Revisit the chart when someone joins, leaves or changes hours. Use the onboarding checklist for access when that happens.
  • Zolyp, which makes this template, includes unlimited team members on every plan, so each person on the chart can have their own login instead of sharing one.

Common questions

What is a RACI chart for social media?

A table of social media tasks showing, for each one, who is responsible for doing it, who is accountable for the result, who is consulted and who is informed. It stops tasks falling between people.

Can one person be both responsible and accountable?

Yes, and in small teams it's common. The rule is that each task has exactly one accountable person and at least one responsible person.

What social media tasks should a RACI chart include?

Strategy, planning, writing, visuals, approvals, publishing, replies, reviews, complaints, reporting and account access. Add anything specific to your business, such as daily specials or events.

Is the garden centre real?

No. Oakfield Garden Centre and its team are made up to show how a filled chart reads.
